You booked the turf. Now get your money back from ten people
One person pays the turf advance, ten people play, and the chasing takes longer than the game. How to run a 5-a-side booking so the money settles itself.

Turf is the worst version of this problem because of the advance. Somebody has to pay days before the game to hold the slot, which means one person is out ₹2,000 while ten people are still deciding whether they can make it. That person is doing the group a favour and getting a fortnight of chasing in return.
The fix is not a better spreadsheet. It is making the amount owed visible to each person, in the same place they RSVP, without anyone having to send a message.
Run the booking
Create the game as soon as you book
Team, sport football, then a session: name, turf, kick-off time, format (5-a-side, 7-a-side), duration and surface. Creating it the moment you pay the advance is the whole trick — the record starts when the money leaves your account, not after the game.
Set players needed to the number you are paying for
Ten for 5-a-side. Everyone can then see how far off you are, and the pressure to find two more players stops being one person’s job.
Add the advance straight away, as an expense
Category "turf", you as the payer. At this point you can leave it splitting between whoever has said IN — it does not have to be right yet.
After the game, mark who played
The list opens with everyone who said IN pre-ticked. Untick the two who bailed, tick the friend somebody brought along.
Let the split follow attendance
An equal split recalculates around the people who actually played. Ten became nine, and everyone’s share moves from ₹200 to ₹222.22 without you touching a calculator.
The advance and the balance are two payments
Turf bookings are often part now, part on the day. Record them as two expenses with the real payer on each — the advance you paid on Tuesday, the balance your friend paid at the gate on Saturday. Do not average it into one.
Recording them honestly costs nothing, because settling is netted per person: when the app works out who pays whom, it produces the fewest transfers rather than making everybody pay both of you separately.
Regular game, rolling balance
A weekly football group does not want ten UPI payments a week. Because balances carry across sessions, four weeks of games between the same people collapse into one figure per person, and the usual rhythm becomes a single settle-up at the end of the month.
If the group has a genuine kitty — everyone puts in ₹500 at the start of the season and bookings come out of it — that is what the team fund is for, and it is tracked separately from who-owes-whom so the two can never be confused.
When the same person always pays
In most groups one person ends up as the de-facto banker, and their balance quietly grows. Two things make that survivable: they can see the total owed to them at a glance rather than reconstructing it from memory, and reminders go out automatically instead of them having to nag friends every week.
It is worth rotating who books anyway. The app just stops the rotation from being an accounting event.
Common questions
The game got cancelled but we lost the advance. What now?
Cancel the session — the expenses stay. Cancelling is deliberately not destructive, because calling off a game does not un-spend a deposit. The expenses booked against it are listed when you cancel so you can decide how to share the loss.
Can I collect before the game instead of after?
Yes — add the expense when you pay the advance and split it between whoever has said IN. Just re-check it against attendance afterwards, or the two people who bailed stay in the split.
Someone always pays late. Can I chase them automatically?
Yes. Reminders go out on their own, and a team can set a due date on what people owe. There is a late-fee option for teams that want one; it always warns before it charges.
Do all ten players need the app?
No. A team admin can add someone by name and phone number, and they count in attendance and the split immediately. They claim that record if they install NikiPri later.
